Overview

The HR Operations Administrator will partner with the internal HR Operations Team and manage all administrative HR processes throughout the employee life cycle for employees in the North America region. This role requires the ability to meet established service level deadlines, manage multiple tasks simultaneously, communicate effectively, and accurately execute all administrative HR operations tasks.

Responsibilities

  • Input data to the HCM System (Oracle) for all employees in their respective region, ensuring HRIS records are complete, accurate, and up to date
  • Provide a high level of customer service when answering employee requests and questions regarding policies, procedures, and programs
  • Partner with HR Operations team to onboard all North America new hires, including:
    • Convert new employees/contractors in Oracle
    • Prepare & extend employment agreements/offer letter via ATS system (iCIMS)
    • Support the onboarding process ensuring the accurate completion of the new hire paperwork and confirmation that forms are retained properly and within compliance guidelines
    • Communicate via email, phone, or in person with newly hired employees, Talent Acquisition team, and Compliance to ensure successful completion of all required pre-employment requirements, including background, credit, and reference checks
    • Notify management and/or other departments regarding onboarding process issues; collaborate and advise as appropriate and escalates non-compliance issues and concerns
  • Assist HR Business Partners with North America offboarding process, including:
    • Update the HCM system
    • Send out Exit Letters & Exit Surveys to departing employees
    • Conduct Exit Interviews
    • Confirm with departing employee that personal contact info in Oracle is up to date (email, address, etc.)
  • Create and maintain electronic employee files
  • Support the audit process by pulling reports, gathering requested documentation, and liaising with on-site auditors
  • Support I-9 verifications process for Kansas City office
  • Partner with HR Business Partners and process unemployment claims for United States
  • Support audit and compliance processes as assigned, including onboarding, temporary workers, US office locations for employment law posters, maintain HR distribution group emails, etc.
  • Assist in maintaining Regional HR intranet site
  • Maintain a clear and detailed knowledge of the industry trends, best practices, and labor legislation

Qualifications

  • BS in HR or relevant field
  • 1-3 years of previous HR administrative or operations experience
  • Knowledge and prior experience with HR policies and practices
  • Ability to work in a dynamic, fast-paced environment
  • Ability to maintain confidentiality and appropriately handle sensitive information with tact and discretion
  • Strong verbal/written communication abilities and effective interpersonal skills
  • Strong sense of urgency
  • Strong work ethic and emphasis on attention to details
  • Proficient computer skills, including Microsoft Office

Physical Requirements/Working Conditions:

  • Climate controlled office environment
  • Minimal physical requirements other than occasional light lifting of boxed materials
  • Dynamic, time-sensitive environment
  • Ability to travel as necessary
